What was the goal?
A high-quality event location, designed for hybrid events with live streams and up to 250 guests. The contract included the construction of a modern stage with detailed lighting for the set and speakers as well as an LED wall to present content. A green screen was expressly not desired. Controllable ambient lighting, suitable decoration and extended displays for audience information were provided. Room acoustics should be optimised. Two separate loudspeaker systems for live bands and general sound as well as a full-fledged IT network were required. A full-service SLA was expected for ongoing operations, which covers technology, maintenance and personnel support.
The requirement for full equipment from shell construction requires complex knowledge from the relevant trades. TACT MEDIA offers experience both in executing and coordinating external service providers as part of comprehensive project management.
Upshot
- Within the preliminary project, feasibility and initial ideas were brought together and presented as a design concept in a true-to-scale 3D visualization. The design of the entire room was planned in advance down to the last detail so that all construction steps, service providers and components could be planned and coordinated on time.
- In the first expansion phase, current and future data transfer standards were taken into account. Particular attention is paid here to fiber optic connections, which were routed redundantly with Cat connections to all media technology connection points. In drywall, we have installed inspection flaps at all connection points to supply the devices in order to integrate media and studio technology into the room design as invisibly as possible.
- The stage design with smooth transition to the audience was equipped with 27 controllable RGBWW light sources, the light intensity of which can of course also be adapted to the conditions of the respective event.
- In order to display the high-quality stage and room equipment with all details and lighting conditions in the best quality, 5 PTZ cameras with cine lenses and AI tracking for flexible image sections in fixed perspectives are spread around the stage and guest area. For a further dynamic perspective, a 6th cine camera on a motorized slider is used.
- Extensive automation of the entire system makes the studio equipment easy to operate and thus reduces personnel costs for every event. Our many years of experience in implementing events, live streams and film productions flow into this process so that the right balance of “push-button preset” and manual control is maintained.
- The location is networked and can be controlled both via fixed touch panels at various positions and via mobile tablets. Lighting, ventilation and air conditioning, conference technology and audio systems can be controlled independently of the studio region.
- A mobile lectern with a control panel and built-in interfaces for connecting external devices can be easily moved on wheels and connected to the stage with just two cables (power and network).
- 45 individually designed design elements, seating furniture and tables designed by us are installed throughout the location and give the atmosphere the necessary appearance. In addition, high-quality event furniture is placed as required for the guests.
- A booking system for club members collects and stores essential data for the respective event, from which all preparation measures can be derived. In addition to classic tasks for event managers, this also makes it possible to save presets for the entire media system, which can be retrieved for recurring formats.
Recap
This project was planned and implemented with passion from all sides and is currently in the final phase of commissioning. The demands on representative character are high. On the one hand, this requirement must be reflected in the general equipment for local guests, and on the other hand, the live streams and recordings of the events must be of equal quality. For us, this means long-term professional on-site support, creation of graphics for an appropriate presentation of content and post-production services for event highlights.
